How do we store your data?
We securely store your data with our infrastructure providers, all of whom are GDPR compliant. We retain your data for as long as required by law, for as long as we have a legitimate reason to keep it, or until you request that we stop using it. Once that period expires, we permanently delete your personal information from our servers and databases.
What are your data protection rights under GDPR?
We want you to be fully aware of all of your data protection rights under the GDPR. Every user located in a country which has adopted the GDPR is entitled to the following:
- The right to access – You have the right to request copies of your data.
- The right to rectification – You have the right to request that Churn Solution correct any information you believe is inaccurate. You also have the right to request that we complete information you believe is incomplete.
- The right to erasure – You have the right to request that we erase your data, under certain conditions.
- The right to restrict processing – You have the right to request that we restrict the processing of your data, under certain conditions.
- The right to object to processing – You have the right to object to our processing of your data, under certain conditions.
- The right to data portability – You have the right to request that we transfer the data we have collected to another organization, or directly to you, under certain conditions.
If you make a request, we have one month to respond. To exercise any of these rights, please contact us at the email address listed in the Contact section at the end of this document. We may ask you to verify your identity before responding to such requests.
Information Collected
Churn Solution collects two main categories of data.
Account Data (from our clients):
- Full name and username
- Business email address
- Company name
- Phone number (optional)
- Job title (optional)
- IP addresses to support secure authentication
- Platform usage statistics (e.g., time spent, features used)
End-User Behavioral Data (from your customers):
- Cancellation intent events (e.g., clicking “cancel”)
- Session activity within cancellation flows
- Survey and feedback responses
- Offer acceptance or rejection outcomes
The following additional information may be collected by third parties, but is not stored directly by Churn Solution:
- Billing information (Stripe)
- Customer support tickets
We do not collect or store payment card details, bank information, or passwords of your customers.
Information Use
When we ask for information, we do so at the time it’s required. We do not ask for, store, or collect information that we do not need. This data is primarily used for:
- Verifying and creating accounts
- Delivering platform features and functionality
- Generating retention analytics, reports, and AI-powered insights
- Improving product performance and user experience
- Communicating with users about support tickets and service updates
- Ascertaining location to ensure compliance with local laws and regulations
We do not sell, rent, or trade data, and it is never used for advertising purposes.
Cookies and Session Tracking
When you use our Services, we may automatically collect and store information through cookies or similar technology. We use cookies to collect standard account data and visitor behavior information so we can understand your preferences and provide an improved experience.
We use cookies in a range of ways to improve your experience on our website and in our Services, including:

Third Party Service Access
We do not sell, rent, trade, or otherwise transfer your personally identifiable information to outside parties without advance notice. This does not include hosting partners and other parties who assist us in operating our platform, conducting our business, or serving our users, so long as those parties agree to keep this information confidential.
On rare occasions, we may disclose specific information upon governmental request, in response to a court order, or when required by law to do so. We may also share information with companies assisting in fraud protection or investigation. We do not provide information to these agencies or companies for marketing or commercial purposes.

Data Retention
We will retain your data only for as long as is necessary for the purposes set out in this agreement. We will retain and use your data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.
Data Storage and Security
Your data is securely stored on industry-leading infrastructure provided by Amazon Web Services (AWS), with enterprise-grade security and high availability. Servers are protected by encryption protocols, SSL certificates, and API keys that are regularly rotated.
In addition, the following precautions are in place:
- Database access is strictly limited to those requiring it
- Server access is strictly limited to those requiring it
- Administrator roles are designed such that those performing routine administrative tasks do not gain access to data that is not relevant to their role
- Continuous monitoring of systems and access logs
Handling a Potential Data Breach
In the unlikely event of a data breach, the following steps will be followed:
- Site, server, and database access will temporarily be disabled
- All of our passwords, API keys, and security certificates will be reset
- Affected users will be emailed and notified of the breach
- An internal investigation will be started to ascertain as much as we can about the breach
- Churn Solution’s site, server, and databases will be re-enabled once they’ve been proven secure
- Changes will be made, and documented, to prevent a similar breach in the future
- A follow-up email will be sent to affected users detailing what we learned from the investigation and the steps taken to prevent future breaches
Privacy & Compliance Principles
- Data Minimization: Only necessary data is collected
- Purpose Limitation: Data is used solely to deliver the service
- Data Ownership: Clients retain full ownership of their customer data
- Right to Erasure: Clients can request deletion at any time
- Data Processor Role: Churn Solution acts as a data processor on behalf of its clients
